3. Why we use your personal information

Enquiries

When you contact us about availability, the property, your stay or a possible booking, we use the information you provide to respond to your enquiry.

The legal basis for this processing is normally taking steps at your request before entering into a contract.

Bookings and your stay

We use your personal information to:

  • process and confirm reservations;
  • manage your booking;
  • communicate with you before, during and after your stay;
  • provide arrival and check-in information;
  • process payments;
  • manage amendments, cancellations and refunds;
  • provide the accommodation and services you have booked; and
  • deal with questions or issues relating to your stay.

The legal basis is normally the performance of our accommodation contract with you or taking steps at your request before entering into that contract.

Legal obligations

We may be required to collect, retain or provide certain information in order to comply with Italian or EU law.

This may include requirements relating to:

  • guest identification and registration;
  • public security;
  • tourism reporting;
  • taxation;
  • accounting;
  • invoicing; and
  • other statutory obligations applying to accommodation providers.

Where information is processed for these purposes, the legal basis is compliance with a legal obligation.

Protecting and operating our business

We may process information where reasonably necessary for purposes such as:

  • website and booking-system security;
  • fraud prevention;
  • maintaining business records;
  • resolving disputes;
  • protecting our legal rights; and
  • administering La Rana e L’Ulivo.

Where appropriate, this processing is based on our legitimate interests, provided that those interests do not override your rights and freedoms.

We may occasionally send information about La Rana e L’Ulivo where we have a lawful basis for doing so.

Where your consent is required, we will ask for it.

You can withdraw marketing consent at any time by contacting us or using an unsubscribe option provided in the communication.

We do not sell your personal information to advertisers.

When you make a payment, certain personal and payment information may be provided directly to Stripe. This can include your:

  • name;
  • email address;
  • billing information;
  • payment-card information;
  • transaction amount; and
  • information used for fraud prevention and payment authentication.

La Rana e L’Ulivo does not normally receive or store your full payment-card number or card security code.

We receive the information necessary to manage your booking and payment, such as confirmation that a payment has been made, the amount paid, transaction status and limited payment information.

Stripe processes personal information in accordance with its own privacy obligations and may act as a processor for some services and as an independent controller for certain payment, fraud-prevention and regulatory activities. Stripe's current privacy notice was updated in January 2026. Stripe

7. International transfers

Some of the technology, booking or payment services we use may process information outside Italy or elsewhere outside the European Economic Area.

Where personal information is transferred internationally, appropriate safeguards required by applicable data-protection legislation will be used where necessary.

These may include an adequacy decision, recognised data-transfer framework or approved contractual safeguards such as the European Commission's Standard Contractual Clauses.

8. How long we keep your information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected and to satisfy applicable legal, accounting, tax and regulatory requirements.

Different categories of information may therefore be retained for different periods.

Booking, invoice and financial records may be retained for the period required under applicable Italian accounting and taxation law.

Guest information that we are legally required to provide to the relevant authorities will be handled in accordance with the applicable statutory requirements.

Information from an enquiry that does not result in a booking will generally be retained only for as long as reasonably necessary to answer the enquiry and deal with any relevant follow-up.

Where processing is based solely on your consent, we will cease using your information for that purpose if you withdraw your consent, unless another lawful basis for processing applies.
